Hello Athletes Village Co-op Members,
This is a message from the AVC Policy Committee regarding the Corridors Policy process that we are currently working on.
We understand there is some confusion and frustration among members about the current status of items in hallways and breezeways. Here is a brief update on work completed and upcoming process:
Work completed:
- Meeting on March 28 2019 with members to share thoughts in response to the notice about an insurance inspection on April 1, 2019.
- Policy Committee compiled what we heard and began drafting a revised policy with the objective of making it simple to understand, compliant with regulations, while respecting the wants and needs of members.
- Policy Committee collected example household insurance policies from members to understand common coverage policies as well as the co-op's insurance policy.
- Policy Committee reviewed existing building code requirements.
- In May 2019 the Policy Committee sought legal advice from the AVC lawyers on liability issues.
- On June 17 the Policy Committee emailed the AVC Members asking them to fill out a survey on mobility needs with regards to hallways, breezeways and other common passageways.
- In July 2019 the Policy Committee met to finalize a draft policy to go to the August 2019 AVC Board meeting.
- A draft Corridors Policy was presented to the AVC Board at the August 2019 meeting.
- A spot insurance inspection was undertaken in August 2019 without notice. Photos were taken of items in breach of the current policy.
- The AVC Board received a notice from our insurers in September 2019 that the photos would be sent to the underwriters and that the AVC insurance policy premiums could go up due to the breaches of policy. A notice was sent to members from Coho to remove all items from corridors on September 19, 2019.
- The Policy Committee received follow-up questions on the draft policy from the AVC Board in mid-September 2019.
- The Policy Committee met on September 19, 2019 to review the questions and discuss next steps.
- The Policy Committee has drafted 2 policy options- the original draft that went to the Board in August 2019 and another to address some feedback received. The objective of both policies is to try to find a balance between maintaining safe and accessible passageways, while giving members opportunities to foster a sense of community.
Next Steps:
- Policy Committee members will meet with the AVC insurers to discuss the two draft policy options to understand their feasibility and get feedback.
- The Policy Committee will revise the policy options based on the feedback and seek legal advice on the revised draft to ensure wording is accurate.
- The Policy Committee will circulate the draft policy(ies) to the members for their review/feedback.
- The Policy Committee will submit the revised policy to the AVC Board for review and approval.
The Policy Committee welcomes questions from members, as well as suggestions on how to be more transparent about process and work progress.
